Seeking Marketing & Writing Volunteer for 2023 Canada West Conference

IABC Canada West Conference is a conference held biennially for communicators to come together to focus on professional development and strategic planning. In 2023, Kelowna will host approximately 200 communicators from across the Canada Western Region.

We are looking to find volunteers for two key roles in the planning of the conference.

  1. Marketing Coordinator
  2. Writer & Publisher

 


Marketing Coordinator

The Coordinator will be a member of the operating committee and will:

  • develop and monitor the marketing communications plan*
  • lead and coordinate the execution of the marketing communications function
  • be accountable for helping reach the conference targets for attendance
  • work with IABC CWR Communications Director to access distribution channels
  • days-of event: live social media activity during the event to ensure sponsor recognition and encourage attendee participation. Monitors event hashtag for the duration of the conference. NOTE: duty may be shared or reassigned with another volunteer.
  • demonstrates initiative, flexibility and professionalism, with the ability to work with minimal supervision and take ownership to address obstacles and overcome barriers by identifying possible resolutions and alternatives.
  • saves all portfolio materials
  • assists with other tasks and activities as required

Must be available on October 22-24 (most other work can be done remotely).

This role will also work with the writer & publisher volunteer to develop and fulfill an editorial calendar (from the marketing communications plan*) to ensure we’re highlighting the conference on a regular basis to key audiences (primarily IABC Canada West and Canada East members) in a variety of channels.

Experience: Some experience with marketing & communications

Time commitment: 8-15 hours/month (estimated, these hours may vary leading up to the event: June – October).

Reports to: Conference Chair

*A marketing communications plan from prior conferences will be provided for the coordinator to work from in developing the 2023 plan.

 


Writer & Publisher

You will work closely with the marketing coordinator to develop, edit, and distribute marketing materials, including:

  • web copy (review all web copy pertaining to the conference; ensure the style and tone of voice for each speaking session align; add learning outcomes as required, etc.)
  • email copy for blasts to all Canada West and Canada East members (includes submitting content to CWR communications director, who will distribute the emails)
  • social media copy for posts to Canada West social media channels for the promotion of the conference (including highlighting keynote speakers, sessions, deadlines, etc.)
  • summary marketing materials to help chapters promote the conference (this could include promotional cards that can be handed out at chapter events, 1-pagers, etc.)
  • demonstrates initiative, flexibility and professionalism, with the ability to work with minimal supervision and take ownership to address obstacles and overcome barriers by identifying possible resolutions and alternatives
  • saves all portfolio materials
  • assists with other tasks and activities as required

Reports to: Conference Chair

Time Commitment: 10-15 hours/month (June – Oct)

Experience: Mid- level IABC member in good standing; expertise developing sales and promotional content; comfortable setting objectives and measuring outcomes; comfortable working with long distance teams; thinks out of the box

Qualifications: Ability to commit for the full eight months; has attended professional conferences; team player; takes direction but strong ability to work independently without daily management; sense of humour; flexible; ability to roll with the punches; thrives on giving back, learning and contributing to a job well done.
